Administrative Support Officer
Stoke on Trent
Salary: £14,500 – £15,500

A not for profit organisation based in Stoke on Trent are recruiting for an Administrative Officer to provide support to the Chief Executive Officer.

The position:
To provide a high level of confidential administrative support to the diverse role of the Chief Executive’s Office, using a high degree of integrity, discretion and diplomacy.
You will provide executive and PA support to the Chief Executive.
The position will also provide HR administration and the maintenance of accurate records of the CEO’s management / senior staff personnel files and records.

There are many duties involved in the role of a Administrative Officer including:
•Provide comprehensive administrative and secretarial support in a professional manner ensuring that absolute confidentiality is maintained at all times.
•Manage the CEO’s diary and appointments, predominantly business but also private to enable effective planning.
•To act as clerk to the CEO’s role on Board of Trustees.
•Prepare agendas, take minutes and ensure all relevant papers are circulated before / after various meeting as appropriate.
•Ensure that the CEO is fully briefed before all meetings and has all relevant papers and information available, plan and prepare meeting rooms.
•Proof read documentation, prepare and draft reports where needed.
•Provide full administrative support to projects as necessary.
•Manage and organise the CEO’s task list and assist with prioritising completion of tasks.
•Ensure that relevant files / documents – electronic and / or hard copy are maintained for the CEO, including minutes’ folders, governance documents and senior staff personnel files and records.

The person:
You will be an experienced administrator with excellent organisational skills. Ideally you will have knowledge of social care and understanding of the essential requirements for confidentiality. You must be able to work unsupervised and be able to prioritise your workload. As there will be a requirement to attend off site meetings and events, you must have a full driving licence with your own transport.
