One of the UK’s leading independent professional services companies are currently looking to recruit a well organised and professional Filing Assistant at their Guildford office. You would be responsible for filing client paperwork in an accurate and timely manner and to a consistently high standard. Regular reception cover will also form a key part of the role.
You will be expected to work normal office hours, Monday to Friday, 9am – 5:30pm, with your main tasks and responsibilities being as follows:
– Processing daily filing for current clients ensuring each client file is kept up to date and stored effectively
– Setting up of new clients files when required
– Archiving and retrieving old client files ensuring accuracy of labelling and arranging for delivery and collection
– Undertaking of regular audits of the filing range to ensure it remains current.
As an integral part of the administration team you can also expect to provide cover to other team members when required including reception. You would be responsible for delivering a high standard of customer service and ensuring the appropriate impression is given to all callers and visitors to the office. You will be responsible for the switchboard, meeting and greeting clients on their arrival, and ensuring that the reception area and meeting rooms are consistently maintained to a high standard.
The ideal candidate for the role will have some experience in an office admin environment ideally including the management of a filing system but this is not a prerequisite. What is important is that you have excellent organisational skills, good attention to detail and high levels of accuracy alongside an ability to manage a varied workload and work efficiently and effectively under pressure and to deadline. You will also need to be capable of working on your own initiative in an unsupervised manner whilst remaining an integral part of a team matrix. Also given the physical nature of the role you will need to make sure you can lift boxes.
