One of the UK’s leading independent professional services companies is currently looking to recruit an accomplished Secretarial Supervisor for their Farringdon Street office in London. You would be responsible for supervising a team of 35 secretaries who support circa 600 staff and partners, coordinating the overall secretarial provision and ensuring there is adequate secretarial cover in all departments at all times.
This is a busy and challenging role, pivotal in ensuring the smooth running of the Farringdon Street office as well as developing a team approach to office secretarial support. The secretaries range from Administrative Assistants to experienced Executive Assistants and you would be expected to develop an in depth understanding of what each different role involves. You would be tasked with attending recruitment interviews for all secretaries, conduct inductions with all new joiners, manage the annual leave approval and sick leave processes, conduct appraisal meetings, ensure all secretaries are adequately trained, organise temporary cover and work with HR in terms of any performance management issues. You will meet with the secretarial team on a periodic basis to seek their views and suggestions and to ensure that a team approach to office secretarial support is achieved.
The role will involve attending the London office communication group meetings to represent the secretarial workforce and will liaise and meet with service line heads on a regular basis to ensure that their needs are being met. You will monitor chargeable time for all secretaries and ascertain why any chargeable budgets are not being met.
You will also provide emergency secretarial support as required, which may involve extensive diary management and travel arrangements, taking, typing up and circulating minutes from internal meetings, as well as typing up correspondence, reports, draft letters, presentations and proposals.
The ideal candidate will be an experienced and supremely well organised Secretarial Supervisor or Manager with significant experience providing high quality administrative support within a large national firm, ideally professional services. Experience supervising a secretarial team and conducting appraisals and interviews will also be required. You will have a copy typing speed in excess of 80 wpm, while knowledge of a relevant CRM system would also be an advantage.
You will be able to demonstrate effective time management skills and the ability to prioritise a varied workload appropriately, plus an excellent eye for detail and a methodical and professional approach. You will be a strong communicator with excellent IT skills (Outlook, Word, Excel, PowerPoint), able to work on your own initiative with minimal supervision.
